Senior Administrative Assistant

THE POSITION

Are you an experienced administrative professional who is looking for a challenging new role? Does a fast-paced, dynamic, collaborative, and fun culture interest you? We have an exciting opportunity for someone who is looking to immerse him/herself in an environment where they are able and encouraged to contribute to many facets of our daily business. We are seeking someone with senior/executive level administrative experience (5+ years) to join the Business Support Services (BSS) team as a Senior Administrative Assistant in our San Francisco office. The ideal candidate is motivated, flexible, and energized by providing top-notch client service. 

This full-time position is primarily responsible for the project coordination and administrative support of two or more Principals in a fast-paced, client-focused environment. As a Senior Administrative Assistant, you will be accountable for assisting the Principals by facilitating their various day-to-day administrative responsibilities as well as providing a wide range of support to their projects and teams. This position takes day-to-day direction from the Principals and reports to the Business Support Services Manager. The Senior Administrative Assistant is a member of the Business Support Services team, provides back-up support to our other administrative assistants, as well as general administrative support as needed. 

Some of the day-to-day responsibilities of this role include:

  • Handling the administrative details of all projects including coordination with clients and internal departments on items such as contracts, confidentiality agreements, IT needs, and billing;
  • Independently managing project budgets and determining final monthly billing, including write-offs and holds, with little to no Principal approval/oversight when needed;
  • Acting as primary point of contact for clients on behalf of Principals and project teams, including making decisions and giving direction to others based on Principal preferences and client knowledge;
  • Ensuring that project team members are aware of all case related responsibilities and deadlines by keeping everyone on track with reminders;
  • Actively involved with practice area meetings by coordinating, preparing agendas, creating PowerPoint slides, following up on action items, and attending all meetings;
  • Coordinating domestic and international travel for Principals and their project teams;
  • Managing Principals’ day-to-day schedule and tasks while maximizing their time and efficiency and keeping their calendars updated;
  • Preparing and submitting all expense reports on Principals’ behalf;
  • Coordinating all meetings including providing catering and meeting/IT set up as needed;
  • Document production including reports, presentations, testimony, erratas, affidavits, etc.;
  • Identifying 'value add' opportunities and delivering administrative support in a proactive manner;
  • Researching and identifying external targets for monthly Business Development purposes including outreach and meeting scheduling; and
  • Providing general support to other parts of the business as needed.

THE CANDIDATE

The position requires demonstrated organizational, time management and communication skills, as well as the ability to prioritize and execute numerous projects and deliverables. The ideal candidate will be a self-directed individual who thrives in a dynamic environment that also provides autonomy and accountability.

Other requirements include:

  • Bachelor’s Degree required;
  • Requires a minimum of five (5) years of executive/senior-level administrative experience and project coordination, preferably in a law firm or other professional services firm;
  • Exceptional customer service skills and an eagerness to go above and beyond;
  • Willingness to work in a collegial team environment;
  • Advanced knowledge of Microsoft Word, PowerPoint, and Outlook is required
  • Advanced proficiency formatting documents in Microsoft Word and a minimum typing speed of 60 words per minute required;
  • Proficient use of MS Excel expected;
  • Database and budget tracking experience desired;
  • Ability to effectively manage time across all projects and deliverables;
  • Ability to exercise flexibility, appropriate judgment, and to maintain confidentiality at all times;
  • Acute attention to detail skills and ability to produce visually appealing error-free work;
  • Ability to adapt easily to change;
  • Ability to work overtime, including night and weekend work as necessary
