Operations Assistant

Location: Toronto, ON

Description

THE POSITION

The Brattle Group is seeking a motivated and flexible individual for a full-time entry-level Operations Assistant position to support the firm in our Toronto, ON office. The Operations Assistant will provide administrative support to principals and the consulting staff in the areas of document and presentation preparation, file maintenance, research, and special projects; and facilities support including all reception related duties, office maintenance, IT needs, and catering/meeting set-ups. This position reports to the Toronto Office Manager.

The core duties of this position include:

  • Provide administrative and project support to consulting staff and other project team members
  • Respond to data and research needs, directing consulting staff to and assisting them with appropriate data resources and research tools
  • Answer and route office phone calls and act as first point of contact for visitors
  • Maintain all reception related documents and schedules (e.g., New Employee and Visitor Guides, phone lists, office information, conference room schedules, etc.)
  • Coordinate travel and manage travel itineraries
  • Assist with monthly billing including time log coordination, and compiling invoices
  • Provide formatting, editing, and proofreading support for work products
  • Provide backup support to the Office Manager as necessary
  • Ensure daily neatness and tidiness of general office space, including kitchen, common areas, and conference rooms
  • Ensure office is stocked, maintain inventory, and order supplies as needed (paper, pens, snacks, beverages, etc.)
  • Act as onsite point of contact for IT Department to troubleshoot technology issues, prepare laptops, and work with various vendors
  • Assist with the planning and coordination of office social events
  • Assist with BSS initiatives as needed

THE CANDIDATE

This position requires strong organizational, collaboration, and time management skills, as well as the ability to handle numerous responsibilities and deliverables.  The ideal candidate will possess:

  • Bachelor’s Degree required
  • Minimum of 2-4 years of professional experience ideally in professional services environment required
  • Intermediate knowledge of Microsoft Word, Excel, PowerPoint, and Outlook required
  • Strong ability to take initiative and ownership of projects
  • Must be self-motivated, work independently, and keep in constant communication with team members and manager
  • Maintains strict confidentiality and exercises appropriate judgment
  • Must thrive in a fast-paced office environment handling multiple tasks and demands concurrently
  • Requires physical activity including some bending and lifting up to twenty (20) pounds
