About the Team:
JFF’s Learning Unit spurs improvement and innovation in K-12 education, adult learning systems, community colleges, universities and other postsecondary systems. We shape existing and new learning organizations, models, credentials, and providers. Working at both the institutional and systems levels, we design, curate, and promote learning solutions and experiences, measure learning outcomes, and evaluate learning models and approaches that foster successful career outcomes for traditional-age students and adults.
In the postsecondary space, JFF provides a comprehensive suite of services to help key state actors create the policy conditions and statewide infrastructure needed for community colleges to implement evidence-based, institution-wide innovations. The Postsecondary State Network (PSN) is a 16-state collaborative committed to advancing policies and practices that accelerate student completion and success in the labor market. The Learning Unit also leads and creates the infrastructure for service delivery to Student Success Centers in 16 states nationwide. Centers organize a state’s community colleges around common action to accelerate student persistence and completion.
About the position:
The Senior Project Manager, Finance and Operations (SPM) will oversee a comprehensive project management system that drives the work of a smart, collaborative team in its execution of innovative and complex deliverables in our grant portfolio. It will be paramount for the SPM to learn all of the dependencies, deadlines, parameters and details of our funding requirements, and convey enthusiasm to keep the team organized and on track. Reporting to the Senior Director, Strategy and Operations, the SPM will partner with team leadership to ensure that our team is able to efficiently, effectively, and strategically meet deliverable requirements. The SPM will work across the Learning Unit, other teams at JFF, and external partners to solicit the information needed to develop strategies, achieve grant portfolio deliverables, and use project management tools to report on their status and budget in real time.
The SPM will be the main point of contact for our funders, and responsible for maintaining trusted relationships through check-in calls, regular email exchanges, and in-person meetings. Many of our funders are long-time supporters our networks and work in K12 and adult learning. Given these relationships, our team strives to partner with funders in new and innovative ways to inform their strategy and make adjustments to our work as we go. The SPM should be comfortable liaising with funders in this way.
The SPM will also manage and oversee a large, complex budget, liaising with JFF Fiscal and Fiscal/Development teams as well as team members who manage various contracts. This person should be excited about both the strategic and logistical questions pertaining to management of a budget.
During the business development cycle, the SPM will lead funder reporting, as well as proposal writing and new funder relationship development in partnership with team leadership. The SPM will have oversight of the Learning Unit’s grant portfolio, which at any given time will vary in its demands, and therefore, will create some exciting variety in the role.
What you'll do:
The principal duties and responsibilities of the position include, but are not limited to:
Ensure compliance with grant portfolio obligations by tracking spenddown, deadlines, requirements, and communications with funders
Lead the development and monitoring of the team's portfolio of contracts and subawards
Liaise with JFF Fiscal, Development, and Organizational Services teams
Develop proposal budgets
Lead real time reporting on grant portfolio status, including forecasting tools, analytics, and graphics for both the Learning and JFF leadership teams
Develop and maintain comprehensive system for project and grant management using project management software
Who you are:
Minimum of 8 years of experience with complex, comprehensive project management systems, with knowledge of nonprofit environment and budget management
Exceptional project management skills
Demonstrated proficiency in managing multiple work streams simultaneously
Demonstrated ability to monitor and manage a complex grant portfolio and budget
Demonstrated capacity to monitor and report on grant portfolio expenditures and collaborate with program staff to ensure appropriate spending
Excellent written and verbal communications skills with ability to present complex information to diverse audiences at the appropriate levels of detail
Demonstrated ability to advance an agenda through a clear course of action and effective engagement of relevant internal and external stakeholders
Advanced knowledge of Excel required
Knowledge of SalesForce and project management software (e.g., Workfront or Asana) preferred
Empowered self-starter with solutions orientation and demonstrated ability to work effectively both independently and in a matrixed team
Collegial relationship builder who can motivate stakeholders to produce results without line authority
