Principal Duties and Essential Responsibilities:

Manage invention disclosure process from inventor intake to assignment to Outside Counsel, including tracking status of all disclosures, scheduling disclosure discussion meetings, insure timely completion of filing time sensitive patent applications by driving stakeholders and inventors to keep deadlines and provide data when requested.
Facilitate Quarterly IP Committee Meetings, including drafting the Agenda, distribution of applicable documents, scheduling meetings, preparation of Minutes, follow up on action items.
Maintain patent docketing system.
Maintain patent files electronically.
Prepare and distribute monthly patent reports to business units.
Prepare and distribute monthly spending reports for IP legal fees to business units.
Download, review and code attorney and annuity invoices, prepare for approval, obtain approvals, and submit to Finance for processing.
Manage patent annuity instructions and payments.
Perform research on patents and trademarks and other IP related matters on an as needed basis.
Annual Technical Awards - Per policy, calculate awards due for inventors and authors, insure proper submission of publications, submit award calculation spreadsheets for approval and payment, send congratulatory emails to award recipients.
Restricted Party Screening - Perform screening of other parties on new NDAs, new vendors, and new customers in Visual Compliance.
Perform monthly audits to insure restricted party screening has been completed for all new visitors, vendors and customers.
Conduct NDA training during new hire orientation meetings.
Review all submitted NDAs to insure compliance with Mattson's legal guidelines, including proper completion of forms, authorized signatures, and verification of Mattson legal review.
Obtain signatures on NDAs and forward to appropriate parties for full execution.  Follow up with responsible parties to insure fully executed NDAs received by Legal Department.
Maintain Corporate Contract Database - Enter NDAs and contracts into database, save PDF copies of NDAs and contracts to server, create links for each document.  Create alarms for upcoming expiration dates.  Notify responsible Mattson party of upcoming expiration of contracts/NDAs.
Contracts - Prepare contracts for signature, obtain signatures, forward contracts to responsible party.
Corporate Governance - Maintain Minute Books for each Corporate entity, including updating indexes, filing updated documents.
Coordinate with international subsidiaries and outside legal counsel for preparation of required documents including board of directors and shareholders minutes, etc., prepare documents for signature, obtain signatures, including notarization, apostille, and certification of documents as required by each entity.  Forward executed documents to appropriate contact to enable proper filing with authorities. 
Conduct research as required on various corporate governance matters including site licenses, articles of incorporation, statement of good standing, etc.


Environmental, Health & Safety Requirements:

Successful completion of required Safety training.
Ensure equipment and machines are maintained in safe operating condition.
Report to the Safety Officer any unsafe or unhealthy condition which cannot be corrected.
Follow all safety and health regulations and work practices, including personal protective equipment where applicable.
