Description

Chemonics seeks an Operations Associate to join the Global Supply Chain Division (GSC) of the USAID Global Health Supply Chain Program - Procurement and Supply Management (GHSC-PSM) project. The Operations Associate is responsible for ensuring that sound management principles and tools are used in the operations of this Division of the Global Health and Supply Chain Office (GHSCO), and implementation of its work. This individual is responsible for supporting the completion of tasks related to leadership support, technical implementation, operational support, staff satisfaction, recruitment, and professional development initiatives for the GSC. The Operations Associate reports to the Global Supply Chain Operations Manager. We are looking for individuals who have a passion for making a difference in the lives of people around the world!
 
The USAID Global Health Supply Chain Program - Procurement and Supply Management (GHSC-PSM) project improves the availability of health commodities and provides supply chain technical assistance. The project has three primary objectives : 1) global commodity procurement and logistics, 2) systems strengthening technical assistance, and 3) global collaboration. 
 
Responsibilities include:
 
  • Provide general administrative, management and operations support to the Global Supply Chain Director, Deputy Global Supply Chain Director, Global Supply Chain Operations Director, GSC Leadership Team, and/or members of the GSC Division at-large, as needed
  • Coordinate operations under the direction of the Global Supply Chain Director, including event and meeting coordination, space planning, staffing and resourcing, and training, and performance management, and divisional management, including timely submission of deliverables
  • Support the GSC Operations Director and Manager to develop and implement business operations strategies, plans, and procedures, and ensure consistency in all operations areas across the Global Supply Chain Division  
  • Provide support to employee transitions, such as updating and maintaining internal new employee orientation materials, adding/removing employees to/from divisional listservs, and submitting new desk-set-up requests
  • Update and maintain GSC files, filing systems, and trackers maintained by the division
  • Assist with coordination of monthly, quarterly, annual or ad-hoc reporting, as needed, ensuring timely submission to the client
  • Assist GSC Operations Director and Manager with managing staffing and resource requirements within the division, including staffing budget, recruitment, and onboarding 
  • Assist in managing formal performance assessment process in coordination with the Subcontracts Project Management Unit, as required. Instruct supervisors on how to clearly articulate performance goals and standards and provide regular feedback
  • Coordinate and collaborate with other Global Health Supply Chain Office (GHSCO) operations and technical teams, Chemonics’ home office teams, partner staff, and others, as the need arises
  • Track timesheet completion and submission, run periodic reports, and provide timely reminders to Chemonics staff
  • Serve as a resource for divisional staff by checking in periodically and elevating issues or concerns to the GSC Operations Manager or Director as needed, and offering solutions as applicable
  • Create a productive, motivating work environment in the Global Supply Chain Division by promoting cooperation and teamwork
  • Expand knowledge of global supply chains and apply understanding to problem-solving and strategic decisions
  • Contribute to technical practice(s) as appropriate
  • Participate on proposal teams in specific line roles, including, but not limited to, past performance reviews (PPRs), corporate capabilities, resume formatting, expatriate and local recruitment, coordinator, section writer, cost volume, and subcontractor liaison
  • Foster and demonstrate a workplace inclusive of creating opportunity, serving others, building trust, innovation, and exceeding expectations
  • Serve as operations manager when necessary
  • Perform other duties as required
Qualifications:
  • Bachelor’s degree or equivalent work experience
  • Minimum one year of work experience in a professional office work environment
  • Experience providing support to business leadership or executive level staff preferred
  • Knowledge of company’s main client and its operations preferred
  • Demonstrated ability to communicate clearly and concisely orally and in writing
  • Strong organizational and work prioritization skills, word processing abilities, knowledge of MS Office applications, and attention to detail
  • Willingness to work overseas for up to 4 to 8 weeks per year; experience living or working in developing countries preferred
  • Ability to work independently and as part of a team
  • Supervisory experience preferred
  • Demonstrated leadership, versatility, and integrity
  • Language proficiency in a foreign language preferred
