Position Summary:  We are searching for a professional and driven individual to represent OutPLEX as our Receptionist. This person will work directly with OutPLEXs' Management team and will be the first point of contact for all visiting clients and potential employees. This person must always present a positive and enthusiastic image of OutPLEX.

General purpose:  This individual will be responsible for the daily upkeep of the company. They will also be the individual working with potential new hires

 

Role Qualifications:

·         High School Diploma or GED

·         Prior Receptionist/Administrative Support experience 

·         Bilingual (English and Spanish) a Plus

 

 

Position Responsibilities:

·    Answer telephone, screen and direct calls taking and relaying messages as needed

·         Greet persons entering organization and direct them to the correct destination

·         Ensures knowledge of staff movements in and out of organization

·         Receive and sort mail and deliveries

·         Assist applicants with completing online application and administer testing

·         Assist HR department with coordination of interviews and making changes as needed

·         Schedule appointments and meetings

·         Keep reception, conference and break rooms (coffee machines, paper towels , etc.) maintained and tidy

·         Maintain Attendance Report

·         Ordering supplies before they run out

·         Data entry

·         General filing

·         Work with Office Manager to implement employee recognition programs and incentives

·         Other duties as assigned by executives and owners of OutPLEX

 

Essential skills and experience:

  • Excellent Telephone Etiquette
  • Uncompromised level of confidentiality
  • Excellent verbal and written communication skills
  • Familiarity with Windows operating systems and proficiency in required software such as Word, Excel, PowerPoint and Publisher
  • Typing 40+ WPM
  • Ability to multi-task and handle numerous projects at once
  • Must take initiative and be accountable as well as reliable
  • Stress tolerance
