Serve as the first point of contact and source of general information on Workforce Development Services (contracting training, continuing education and facility rentals) and general college services. Provide administrative support to the Division of Workforce and Economic Development, coordinate facility rental requests and perform billing services for facility rentals and workforce contracts.
Duties & Responsibilities
Provide accurate and timely internal and external correspondence regarding contract services, technical assistance, continuing education, and facility rentals.
Serve as a college link between business partners and community agencies along with the Workforce Development Manager, Continuing Education Manager and Vice President, WED & Community Relations.
Enter information from development staff into college databases for the purposes of building and scheduling classes as well as providing dashboard outcome reporting.
Enter information into CRM to keep the status of projects current. Remove outdated and incorrect contact information as necessary.
Build Workforce and Economic Development classes in Peoplesoft.
Coordinate class spaces and accommodations when needed.
Procure instructional material. Ensure relevant and quality of handouts, book orders, presentations, facility set up, AV needs, etc.
Invoice clients per contract terms.
Collaborate with internal and external customers to ensure successful experience for business clients and students to include scheduling training, ensuring contract documents are in order, etc. Launch contract evaluations at the close of projects.
Participate in grant-funded contracts through, grant billings, budget status, reporting, etc.
Register students, ensure student grades are entered and certificates provided, etc.
Collaborate with workforce and economic development team to research, plan, develop, and assist in executing sales and marketing strategies.
Participate in WATG application development, budget development, implementation, and evaluation. Work with client specialists and grants team to develop and evaluate outcomes.
Collaborate with Marketing department to ensure internal divisions and departments and external stakeholders receive appropriate assets to support enrollment in contract training, technical assistance projects, and continuing educations offering.
Perform other duties as assigned.
Associate degree in business administration, communication, finance, marketing, administrative professional or related field from a regionally accredited institution required.
Minimum of three years of professional experience in an office setting. Experience in event planning, sales, contract fulfillment and invoicing preferred.
Experience in educational contract training preferred.
Experience in PeopleSoft or similar Enterprise System preferred. Proficiency in Microsoft Office products required.
Must possess excellent problem resolution, organizational, interpersonal, communication, and project management skills.
