The Amazonia Verde Project proposes to conserve nearly 73M hectares (24.5M ha directly and 48.5M ha indirectly) by 2025 by empowering Indigenous Peoples and local communities and pioneering new financial mechanisms to advance conservation investments and incentives. The long-term conservation of the Amazon rainforest requires capacities, will, and finance. CI will build the capacities of IPLCs to lead on their own and give them the tools to access the funding they need to carry out their own initiatives to conserve forests and support livelihoods. Project activities will benefit more than 68,000 men, women and children in total.
The Project Coordinator provides logistics and administrative support to the Project Management Unit (PMU) of the “Amazonia Verde” project. More specifically she/he will be responsible for the logistics of all project meetings and workshops: internal conference calls, quarterly regional and technical meetings, annual steering committee meetings, technical workshops, learning events, etc. The position will also support the preparation and implementation of such meetings and workshops (prepare meeting folders, venue oversight, take notes, keep record of meeting minutes, etc.).
In addition, the Project Coordinator will arrange travels for PMU staff and other regional programs (such as the indigenous fellowship program), including the booking of flights, transportation and accommodation and the processing of corresponding travel expenses. This position will also be expected to identify service providers and collect price quotations as required.
Lastly, the Project Coordinator will support internal and external communications activities. Internally, the Project Coordinator will maintain the project’s SharePoint site and organize the different inputs and documents received from the PMU and the country programs. Externally, the Project Coordinator will contribute to the design and writing of project updates, newsletters, factsheets, etc.
The Project Coordinator will work under the supervision of the Project Lead but will provide overall support to the PMU team. S/he will closely coordinate with relevant country programs and other HQ-based divisions.
Responsibilities fall into three main categories:
Executive Support – Provide administrative and organizational support to the Project Senior Director, including organizing and preparing for meetings, calendar, travel, logistics, events and other duties as required.
Team Support – Provide administrative and organizational support to the AV project staff, including organizing project team meetings online and in person; organizing monthly reports; manage project calendar; and projects email accounts and list servers; Project WhatsApp group; routing proposals and grants for signature; and other duties as required. Provide support on administrative, budgetary and/or human resources related items as needed.
Liaison – Serve as a liaison between the Amazonia Verde Project and other programs in the Americas Field Division, headquarters and other divisions within CI. Coordinate meetings, events and logistics as needed; provide support on administrative, budgetary and/or human resources related items as needed.
People & Resources Management Responsibilities
Work closely with the project leaders in technical planning and budgeting.
Work closely with the Financial and Accounting Teams in monitoring project execution.
Provides support to Communications Manager on publications matters.
Supports the logistics of the beneficiaries.
Local contract aligned with the project term of 26 months
Duty station will be determined at a later date, depending on the profiles of the applicants.
Primarily in an office environment.
Expected to travel as needed to countries and field where the project implementation takes place (10%).
Bachelor’s degree or up to four years of college-level work.
Business Administration and/or related areas with exposure to Non-for-Profit projects, or conservation/Related Field with additional training in business administration.
2 - 4 years of related work experience in similar positions, preferably in the conservation, NGOs, or advocacy arena.
Strong written and verbal communication skills. Solid attention to detail and proofreading skills.
Ability to function well in a multicultural, gender diverse, and fast-paced work team environment.
Comfortable managing multiple duties and adapting to changing priorities.
